Invoicing Features

Tillage's invoicing system automates billing with smart scheduling, recurring invoices, and automatic reminders. Create professional invoices that get paid faster.

Creating Invoices

From a Quote

When a quote is approved:

  1. Click "Create Invoice"
  2. Line items are pre-populated
  3. Set due date
  4. Send to client

From a Contract

Contract payment schedules automatically generate invoices:

  • Deposit invoices on signing
  • Milestone invoices when triggered
  • Recurring invoices on schedule

Manual Creation

Create standalone invoices:

  1. Go to Invoices > New Invoice
  2. Select client
  3. Add line items
  4. Set payment terms
  5. Send

Invoice Details

Each invoice includes:

  • Invoice number - Auto-generated (customizable format)
  • Issue date - When the invoice was created
  • Due date - Payment deadline
  • Line items - Services with quantities and pricing
  • Subtotal - Before any adjustments
  • Discounts - If applicable
  • Tax - If configured
  • Total - Final amount due
  • Payment link - One-click payment access

Recurring Invoices

Automate billing for retainers and ongoing services:

Setting Up Recurring Billing

  1. Create a contract with Ongoing Services block
  2. Configure:
    • Frequency - Weekly, monthly, quarterly, annually
    • Start date - When billing begins
    • End date - Optional end date
    • Auto-send - Automatically email when generated
  3. Invoices generate automatically

Recurring Frequencies

  • Weekly - Every 7 days
  • Monthly - Same day each month
  • Quarterly - Every 3 months
  • Biannual - Every 6 months
  • Annually - Once per year

Smart Variable Naming

Use variables in recurring invoice titles:

{clientName} - {month} {year} Retainer

Becomes: "Acme Corp - January 2025 Retainer"

Available variables:

  • {clientName} - Client's company
  • {month} - Current month (January)
  • {year} - Current year (2025)
  • {monthYear} - Combined (January 2025)

Invoice Reminders

Automatically follow up on overdue invoices:

Configuration

In Settings > Invoices:

  • Enable reminders - Turn on/off
  • First reminder - Days after due date (default: 7)
  • Follow-up interval - Days between reminders (default: 7)
  • Maximum reminders - Limit or unlimited

Reminder Emails

Customize your reminder templates:

  • Subject line with variables
  • Email body with payment link
  • Professional, friendly tone
  • {daysOverdue} variable shows urgency

Timezone-Aware

Reminders send at 9 AM in your configured timezone—professional timing for your clients.

Invoice Status

Track invoices through their lifecycle:

  • Draft - Created but not sent
  • Sent - Delivered to client
  • Viewed - Client opened the invoice
  • Overdue - Past due date, unpaid
  • Paid - Payment received
  • Partially Paid - Partial payment received

Payment Methods

Configure which payment methods to accept:

Per-Invoice Settings

  • Credit cards - Visa, Mastercard, Amex, Discover
  • Bank transfers - ACH direct debit
  • Both - Let client choose
  • Payment method note - Optional message about payment options

Convenience Fees (Premium)

Pass processing costs to clients:

  • Set fee as percentage or fixed amount
  • Applies only to credit cards (not ACH)
  • Client sees fee before paying
  • Configure per invoice or team-wide

One-Click Payment

Clients pay with a single click:

  1. Client receives invoice email
  2. Clicks "Pay Invoice" link
  3. Enters or selects payment method
  4. Confirms payment
  5. Receives confirmation

No login required. Works on any device.

Quick Actions

Manage invoices efficiently from the list view:

  • Mark as Paid - Record offline payment with date
  • Mark as Unpaid - Revert paid status
  • Send Reminder - Manual reminder email
  • Duplicate - Copy to new invoice
  • View - Open invoice details
  • Download PDF - Export for records

Invoice Numbering

Customize your invoice number format:

Format Options

  • {YYYY}-{MM}-{###} → 2025-01-001
  • INV-{YYYY}-{###} → INV-2025-001
  • {###} → 001, 002, 003...

Settings

  • Prefix - Text before the number (e.g., INV)
  • Format - Pattern with year, month, sequence
  • Starting number - Begin from any number

Purchase Order Support

Track client PO numbers:

  • Add PO number to invoices
  • Appears on invoice and PDF
  • Searchable in invoice list
  • Required by some enterprise clients

Tax Support

Configure tax settings:

  • Tax rate - Percentage to apply
  • Tax label - "Tax," "VAT," "GST," etc.
  • Per-item tax - Different rates per line item
  • Tax inclusive - Prices include tax
  • Compound tax - Multiple tax components

Line Items

Invoice line items include:

  • Title - Brief description
  • Description - Detailed scope
  • Quantity - Units or hours
  • Unit price - Rate per unit
  • Line total - Calculated amount

From quotes, line items preserve locked pricing.

PDF Export

Generate professional PDF invoices:

  • Your logo and branding
  • Clean, professional layout
  • Payment instructions
  • QR code for payment link (optional)
  • Print-ready format

Email Customization

Customize invoice emails:

  • Subject line - With smart variables
  • Email body - Custom message
  • Reply-to address - Your business email
  • Payment link - Automatically included
