Team and permissions

Understand team roles, manage members and invitations, set notification emails and work across several teams.

A team in Tillage is one business: its clients, quotes, contracts, invoices, Stripe connection and settings. Everyone you add to the team works from the same data. This page covers roles, managing members and running more than one team.

To invite someone for the first time, see Invite your team.

Roles

Every member has one of three roles.

Role Who has it What they can do
Owner The person who created the team Everything, including removing admins and creating API keys with full access
Admin Invited as Admin - Full access Everything except removing other admins or the owner
Member Invited as Member - Custom permissions Work with clients, quotes, contracts and invoices. Can’t change team settings, invite or remove people, or manage Stripe.

Only owners and admins can:

  • Save changes on any Team Settings tab
  • Invite people and cancel invitations
  • Remove members (an owner can remove admins and members; an admin can remove members)
  • Connect, disconnect or manage Stripe
  • Refund or cancel payments
  • Create API keys and webhooks on the Developers tab

A member can open Team Settings, but saving fails with a permission error. Nobody can remove the owner or remove themselves, and you can’t invite someone as an owner.

Member permissions

When you invite someone as a member, you see a Permissions grid with read, create, edit and delete for Quotes, Invoices, Contracts, Clients and Payments. Members with no permissions can still view the dashboard.

Manage members

Open the team menu and choose Team Members, or go to Team Settings → Members.

The Team Members card lists everyone on the team with their Name, Primary Email, Notification Email and Role. Your own row is marked You.

Remove a member

  1. Open the … menu on the member’s row.
  2. Choose Remove member and confirm.

Removing someone also revokes any API keys they created. Their work, such as the quotes and invoices they made, stays with the team.

Pending invitations

Invitations that haven’t been accepted appear under Pending Invitations with the email, role and date sent. Click the trash icon to cancel one. Invitations expire after 7 days; send a new one if it lapses.

Notifications

Team notification emails are opt-in. Each member chooses their own, per team, and all of them start off.

  1. In Team Settings → Members, open the … menu on your own row.
  2. Choose Notification preferences.
  3. Turn on the emails you want. Each switch saves straight away.
Group Notifications
Payment Notifications Payment Received, Payment Failed
Quote Notifications Quote Approved, Quote Rejected, Quote Viewed
Contract Notifications Contract Signed, Contract Viewed
Invoice Notifications Invoice Viewed, Invoice Overdue

Send notifications to a different address

Notifications go to your login email unless you set another one. In the Notification Email column on your row, click Set alternate, enter the address and click Save. The column shows Same as primary until you do.

Account Settings → Notifications doesn’t hold these settings yet. Use the team members page.

Work across several teams

You can belong to several teams, for example if you run two businesses or work with another agency. Each team has its own clients, documents, settings and Stripe account.

Switch teams

Open the team menu at the top of the sidebar. Under Switch accounts, choose the team you want. Tillage reloads into that team.

The team menu shows each team’s name, whether payments are connected, and your role on that team.

Create a team

  1. Open the team menu and choose Create Team.
  2. Enter a Team Name. This is what appears in the team menu.
  3. Optionally fill in Business Information and Quote & Invoice Defaults, such as currency, default price, variance, margin and numbering.
  4. Click Create Team.

You’re the owner of any team you create. Set the business country on the new team’s Business tab before connecting Stripe; the create dialog doesn’t ask for it.

There’s no limit on team members or teams.
