Record payments and refunds
Mark invoices paid when clients pay offline, undo a mistaken entry, cancel a pending bank payment and refund online payments.
Online payments update invoices on their own. When a client pays by check, wire or any other method outside Tillage, record it yourself so your receivables and revenue stay accurate. This page also covers refunds and cancelling a bank payment that’s still in progress.
Mark an invoice as paid
Use this for payments received outside Tillage. No Tillage fee applies.
- Open the invoice and click Mark as Paid. From the invoice list, choose Mark as Paid in the row’s menu.
- In Mark Invoice as Paid, pick the Payment Date. It defaults to today; choose the date the money actually arrived.
- Click Mark as Paid.
The invoice moves to Paid and counts toward revenue for the payment date you chose.
Mark as Paid is available for issued and late invoices that aren’t already paid or mid-payment. A draft has to be issued first: choose Mark as Issued from its actions menu, then mark it paid.
Undo a manual payment
If you marked an invoice paid by mistake, choose Mark as Unpaid from its actions menu. This is available only for invoices you marked paid yourself. Invoices paid online through Stripe can’t be marked unpaid; refund them instead.
See an invoice’s payments
Open the invoice and scroll to Payments. Under Payment Details, each online payment shows the method (card brand or bank, with the last four digits), the amount, and, if your client paid fees, the split between Invoice Amount and Processing Fees. Stripe Transaction links to the payment in Stripe.
From the invoice list, View Payments jumps straight to this section.
Cancel a bank payment in progress
A bank transfer that’s still Processing can be stopped before the money moves.
- Open the invoice and find the payment under Payments.
- Click Cancel Payment.
- Confirm with Yes, Cancel Payment.
The payment is marked canceled, and the invoice goes back to unpaid so the client can pay again. This can’t be undone.
Refund a payment
You can refund all or part of any successful online payment.
- Open the invoice and find the payment under Payments.
- Click Issue Refund.
- Under Refund Amount, choose Full Refund, or Partial Refund and enter the amount. The most you can refund is the payment amount.
- Choose a Reason: Customer Requested, Duplicate Charge or Fraudulent. It’s recorded in Stripe.
- Click Issue Refund.
Stripe processes the refund back to the client’s card or bank account. It usually takes 5–10 business days to show on their statement. Refunds can’t be undone.
After a refund, the payment shows Fully Refunded or Partially Refunded, and the invoice moves to Refunded or Partial Refund.
Things to know:
- Refund from Tillage, not the Stripe Dashboard. Refunds made directly in Stripe aren’t synced back, so the invoice would still show Paid.
- Fees aren’t returned. Stripe keeps its processing fee and Tillage keeps its platform fee. If your client paid the fees at checkout, you can include them in a partial or full refund amount, up to the total they paid.
- Refunded invoices can’t go back to draft. Create a new invoice if you need to bill again.
