Send a quote and get approval

Email a quote or share its link, see when the client views it, and choose what happens after they approve.

When a quote is ready, send it by email or share its link. Your client opens it in the browser, with no account needed, and approves or declines with one click. Once it’s approved, you can turn it into a contract or an invoice without re-entering anything.

Send by email

  1. Open the quote and click Send Quote.
  2. On the Email Content tab, choose Recipients:
    • Tick contacts under Client Contacts. The primary contact is ticked for you.
    • Add anyone else under Additional Email Addresses (comma-separated).
  3. Check the Subject and Message. They start from your team’s quote email, which you can change in Quote and invoice settings.
  4. Click Send Quote.

Each recipient gets their own email with a View Quote button. The email comes from your business name via Tillage, and replies go to your business email. The quote’s status changes to Sent.

If you’d rather send the link in your own email or chat:

  • In the send dialog, open the Shareable Link tab and click Generate Shareable Link, then copy it.
  • Or click Mark as Sent (No Email) to mark the quote as sent without emailing anyone.
  • From a draft in the editor, click Mark as Sent. Tillage creates the link, marks the quote as sent and copies the link to your clipboard.

After that, find the link on the quote’s details page under Shareable Link, or use Copy Client Link in the … menu.

Quote links don’t expire, and search engines are told not to index them. Anyone with the link can view the quote, so share it only with the people who should see it.

Preview what the client sees

Use Preview Quote (No View Recorded) in the send dialog, or Preview Quote in the quote’s menu. Previews show a Preview Mode banner and don’t mark the quote as viewed.

What your client sees

The client’s page shows your logo and business name, the project name, quote number, date and PO number, your introduction text, the line items and totals, and your notes. Each line shows its description, quantity, unit price (if you show rates) and total. Variance, base cost and profit margin are never shown.

At the top are two buttons: Decline and Approve Quote. One click records their answer; there’s no signature, comment box or request-changes option on a quote. If you need a signature, follow up with a contract.

After they respond, the page shows Quote Approved or Quote Declined, and the client can Download PDF.

A client can respond only once, and only while the quote is sent or viewed. If the quote has an expiry date that’s passed, they’re asked to contact you for an updated quote.

Track the response

Status When it changes
Sent You send the quote or mark it as sent.
Viewed The client first opens the link.
Approved The client clicks Approve Quote.
Rejected The client clicks Decline.

The quote’s details page updates live when the client responds. Approving a quote also sets the client’s status to Active.

The person who created the quote gets an email when the client approves or declines. To get emails when quotes are viewed, approved or rejected, turn on Quote Notifications in your notification preferences.

Record a response yourself

If a client approves by email or phone, open the quote, choose Mark As… and pick Approved (or Rejected). You can also use Update Status in the … menu.

After approval: choose next steps

On an approved quote, click Next Steps. In Quote Approved! Choose Next Steps, pick one:

  • Contract Flow creates a contract from the quote for your client to sign. Use it when you want written terms, a signature or a payment schedule. The contract wizard opens with the quote’s details. See Create a contract.
  • Invoice Flow bills straight from the quote. Choose a Single Invoice, or Scheduled Payments to split the total across several invoices with a payment schedule. See Create an invoice.

Or click Skip for Now and come back later. The quote stays on the Approved tab until you create a contract or invoice.

Prices carry over exactly as approved. Creating a contract moves the quote to Contracted; creating an invoice moves it to Invoiced.

Once a quote is approved, it’s locked: the editor shows what the client agreed to and doesn’t save changes. To change the scope or price, choose Create New Version. Tillage copies the quote into a new draft you can edit and send.

If the client declines

Open the quote and click Create New Version. Tillage copies it into a new draft you can revise and send. The declined quote stays on the Closed tab for your records.
