Send an invoice and get paid

Email an invoice or share its link, see what your client sees when they pay by card or bank transfer, and set up reminders and auto-send.

Every invoice you send has a secure link where your client can view it, download a PDF and pay online by card or bank transfer. This page covers sending, the client’s payment page, overdue reminders and scheduled sending.

Sending requires a connected Stripe account. See Set up payments.

Send an invoice by email

  1. Open the invoice and click Send Invoice. From the invoice list, open the row’s menu and choose Send.
  2. On the Email Content tab, tick the Client Contacts who should receive it. Add anyone else under Additional Email Addresses (comma-separated).
  3. Check the Subject and Message. They start from your team’s invoice email in Quote and invoice settings. Use the ✨ button in the editor toolbar to insert smart variables such as {invoiceNumber} or {dueDate}.
  4. Click Send Invoice.

The email includes a secure payment link and a PDF of the invoice. The invoice moves to Issued.

To send it again later, choose Send Again on the invoice, or Resend from the list.

Issue without emailing

If you’d rather deliver the invoice yourself, click Mark as Issued (No Email) in the send dialog, or choose Mark as Issued from the actions menu. The invoice gets its payment link and moves to Issued, but no email goes out. Then share the link:

  • Copy Invoice Link copies the invoice page, where your client can review and pay.
  • Copy Billing Dashboard Link copies your client’s portal, which lists all their invoices. See Client portal.

On the Payment Link tab of the send dialog, Preview Invoice (No View Recorded) opens the client’s view without marking the invoice as viewed.

What your client sees

Your client opens the link in a browser. No account is needed.

  1. The invoice page shows the line items and total, with Download PDF and Pay Invoice.
  2. After clicking Pay Invoice, they choose Credit Card or Bank Transfer. Each option shows No added fees or +fees, depending on your fee settings.
  3. The payment screen lists the Invoice Amount, any Processing fees you pass on, and the Total.
  4. They pay with Stripe’s secure form. Clients who saved a payment method before can pick it, or choose Use a different payment method.

Card payments complete straight away and the invoice moves to Paid. Your client gets a payment confirmation email with the paid invoice attached, and team members who’ve turned on payment notifications are told too.

Who pays the fees is your choice. See Processing fees.

Bank transfers

Bank transfers use your country’s local bank debit through Stripe. They cost less than cards but take a few business days to settle. While a transfer is in progress, the invoice shows Processing.

Business country Method Typical settlement
United States ACH 1–3 business days
Canada Pre-authorized debit (PAD) 2–5 business days
United Kingdom Bacs 3–5 business days
Australia BECS 2–3 business days
New Zealand BECS 2 business days
Eurozone countries SEPA 5–6 business days

In other countries, checkout offers cards only. If you connected an existing Stripe account, turn on the bank debit method in your Stripe Dashboard under Settings → Payment methods first.

Sometimes Stripe needs to verify the client’s bank account with two small deposits. The invoice shows Verifying, and Tillage emails your client a link to confirm the amounts. The payment goes through once they do.

You can choose which methods each invoice accepts with Credit Cards and Bank Transfers under Payment Preferences when you create the invoice.

Send invoices automatically on the issue date

Turn on Auto-Send (Send on issue date) when you create an invoice. It’s saved as Scheduled, and Tillage emails it to the client on the issue date, in your team’s time zone. Tillage checks for scheduled invoices every 30 minutes.

To send a scheduled invoice early, open it and click Send Now.

Recurring invoices have their own delivery options. See Billing schedules.

Overdue reminders

Tillage can email your client when an invoice is past due.

  1. Go to Team Settings → Invoices.

  2. In Invoice Reminders, turn on Enable Reminders.

  3. Set the timing:

    Setting Default What it does
First Reminder (Days After Due) 7 Days after the due date before the first reminder.
Follow-up Frequency (Days) 7 Days between later reminders.
Maximum Reminders 0 Stop after this many. 0 keeps sending until the invoice is paid.
  4. Edit the Reminder Email Subject and Reminder Email Message if you like, then save your team settings.

How reminders work:

  • They go out at 9 AM in your team’s time zone.
  • Only invoices that were actually sent, are past due and are unpaid get reminders. Drafts, scheduled invoices and invoices marked issued with a future issue date are skipped.
  • One-off invoices go to the people you sent the invoice to, or the client’s primary contact if that isn’t recorded. Recurring invoices go to the primary contact plus anyone CC’d on the billing schedule.
  • Sending a reminder marks the invoice Late.

The default subject is Payment Reminder: Invoice #{invoiceNumber} is Overdue. Reminder emails support the same variables as invoice emails, including {daysOverdue}. See Smart variables.
